About the Role

Our client is seeking an MSP Program Operations Specialist to join their client account team in Austria. This is a high-visibility, client-facing role within a large enterprise contingent workforce programme.

You will be responsible for the smooth operational delivery of the programme, ensuring requisitions are processed efficiently, suppliers are managed effectively, and contractors are onboarded seamlessly.

The role is suited to someone with 2-3 years of MSP or staffing experience, including hands-on VMS usage, who is ready to take ownership of programme operations.

You will work independently while partnering closely with client stakeholders, suppliers, and global delivery teams.

Location: Vienna / Austria (remote with occasional on-site flexibility)

Position: Full-time

Key Responsibilities:

Requisition & Pipeline Management

  • Own the end-to-end requisition lifecycle in the VMS (creation, approval routing, supplier release)

  • Conduct intake calls with hiring managers to define scope, skills, and requirements

  • Manage candidate submissions (first-in, first-out (FIFO) logic) and forward profiles to hiring managers

  • Coordinate interviews and support rate alignment between suppliers and rate card, including out-of-card approvals

  • Create and manage purchase orders (POs) within the procurement system with team support

Contractor Lifecycle Coordination

  • Validate onboarding readiness and coordinate handover to delivery teams

  • Track contract end dates, renewals, and extensions with hiring managers

  • Support contractor offboarding (access removal, badge return, client assets)

  • Act as first escalation point for contractor-related issues

Supplier Onboarding & Management

  • Support onboarding of new suppliers and distribute required documentation

  • Manage supplier setup and onboarding processes within the VMS

Supplier Governance & Performance

  • Maintain supplier configuration within onboarding workflows

  • Support supplier performance reviews and scorecard meetings

  • Assist with rate card updates and market rate surveys

Timekeeping, Invoicing & Systems

  • Monitor time submissions in the VMS and follow up on missing approvals

  • Support invoicing processes and resolve PO/funding issues with stakeholders

  • Liaise with procurement and finance teams for system or billing queries

What We Are Looking For:

Essential

  • 2-3 years of experience in MSP, staffing service delivery, or contingent workforce operations

  • Hands-on experience with a Vendor Management System (VMS), such as Fieldglass or similar enterprise platforms, in a live programme environment

  • Strong communication skills with the ability to manage hiring managers and supplier relationships professionally

  • Highly organised, self-directed, and able to manage multiple workstreams simultaneously

  • Fluency in English and German

  • Eligible to work in Austria without visa sponsorship
